How we automated insurance operations with AI

Insurance runs on process - policies, claims, payouts, renewals - and a surprising amount of it is still done by hand, across spreadsheets and chat. Here's how we automated it for an insurer, and the principles that apply to any document-heavy operation.

The problem with manual insurance ops

When every stage lives in a different spreadsheet or a WhatsApp thread, the same data gets re-typed over and over, there's no single source of truth, and the real status of anything lives in someone's head. It works at low volume and becomes the bottleneck as you grow - slow, error-prone, and impossible to see across at a glance.

Where AI actually helps

Not everywhere - but in a document-heavy operation, a few places pay off immediately:

• Data entry. AI reads incoming documents and fills the records, instead of a person re-typing them.
• Classification and routing. Incoming items get categorised and sent to the right place automatically.
• Reconciliation. Matching payouts and records that used to be a manual cross-check.
• Status and reporting. Live visibility instead of a phone call to find out where something stands.

What we built for Greenwin

We built a centralized insurance MIS platform covering the full lifecycle - policy issuing, claims, payouts, ticketing and team coordination - with role-based access. The repetitive data entry is handled by an AI extraction layer that fills records automatically, with a human check on anything it isn't sure about.

The results

Manual data entry dropped by around 75%, end-to-end processing got roughly 5x faster, and the team got back about four hours per person per day - time that now goes into customer work instead of copy-paste.

The principle: automate the workflow, keep a human in the loop

The win isn't replacing people - it's removing the repetitive work and keeping a person on the decisions that matter. Guardrails and a human check on uncertain extractions are what make it safe to run in production, not just impressive in a demo.
